(00:00:00) Introduction & Dashboard Overview

Hello everyone, I want to give you a demo of how FramingPOS works. The minute you sign in, you're going to see a list of your incomplete work orders. We have this in two different views. This shows all the work orders that are incomplete, sorted by the date added. You can see it in a compact view, and what you have to do is click here to open a work order.

I'll click on one to open it, and then you can work with the details. You can also view what we call the "Sky View." Now you get to see all the details of your work order, including notes about it. You can mark if a mat board is in stock, on order, cut, or received. All this helps you track the status of all your orders. Does it need printing? Yes. Has it been printed? Not yet. Does it need photo restoration? Yes. Has it been done? Yes or no, and so on with mounting.

If you want to mark something as "Ready to Fit," you're going to select RTF, and this will show in blue. The person working on it will know it's ready to be finished. You can complete a project right from this screen. If you click on "Complete," that job will be completed and marked. You can scroll down and see the list of all your incomplete work orders and make adjustments as you see fit.

(01:44) Creating a Detailed Work Order

How do you create a work order? You click "New Work Order" here. You can add a customer. Let's say you're framing a diploma, maybe 8 by 10. When you come in here, you're going to type in the frame number without any prefixes. You'll notice it says "5% inflation pricing adjustment"—I'll show you what that is in a second. Let's put in 8446. You don't need prefixes or suffixes. Just put in the number or scan the barcode.

Now, the system tells us there are two numbers with 8446: one from Décor and one from CMI Molding. I intended to use the CMI molding, 8446. We have a little visualization here that shows you a picture of the product and a breakdown of all the details, including how many feet you're going to need. If you're doing a stacked molding, it will show you the visual layout. Let's add another one, 300CG. I see that Larsen-Juhl is available, and also Vermont Hardwoods. We'll pick the one from Vermont.

Now you can see the stacked frame is 8446 on the outside and 300CG on the inside. It shows the outside dimensions of both frames and how much material you'll need.

For matboard, you can choose equal or unequal borders, with or without white space. Let's say I want a two-and-a-half-inch mat board. Again, you put in your mat number, hit enter, and if it's an exact match, the number will show. You can add a double mat; let's say 9507. Visually, you'll see the 9507 appear. You can change the reveal from a quarter-inch to a half-inch or even an inch, and you can see it's to scale.

Next, we come to glazing. If you know your glazing ID, you can type it here; otherwise, come down and select what you want to use. Let's say you want to use Optium Museum Acrylic. For "Everything Else," the "Show Buttons" view is what most people prefer, and this will show all the different types of add-ons: mounting, quarter-inch black spacers, and so on.

Let's say the customer leaves and you've confirmed the size is perfect. You can lock it in. The size will not change even if I change other dimensions. But if you look at it and realize, "wait a second, this was 13 and 5/8ths," you can update that, and it will get updated. This way, the person cutting the frame, mat, or glass will know to look at this confirmed size.

(05:37) Advanced Pricing, Inflation & Discounts

Here you can change your quantity. Clicking the calculator icon will show you how everything was calculated. This gives you the breakdown for matboard, glazing, and everything else. The "Inflation Pricing" feature is in the settings. If your rent goes up by 3% or salaries are more expensive, you can add an inflation adjustment that gets automatically applied. You can always come back and remove it. You can add a discount by dollar or by percentage off the subtotal. You can also mark an order as tax-exempt or negotiate a final price. If the total is $358.40, I can just make it an even $350. This will also give you the total per item, including tax.

(07:04) Production Workflow & Google Photos Integration

After saving the work order, a new "Production" section is added at the top. Here we'll see the mat, the molding, and the glass. We can track if it needs printing and if it has been printed. Does it need restoration? Yes. Is it done? Yes. Mounting? Yes, it needs a dry mount. You can also use five custom columns that you can name anything you want in the settings.

You can type in your notes—as much as you want. A couple of cool things here: we give you unlimited picture uploads. You can upload pictures using a regular upload, or you can use Google Photos. In your settings, you integrate your Google account. Then, you can take pictures with your phone, and they automatically upload to your Google Photos. From the work order, you click to add photos, and it will open your Google Photos account. I'll pick a couple of pictures here, and I'm done. I close this, and in a second, it will grab the pictures and add them here. This is great for documenting the artwork's condition.

(09:22) Printing Work Orders & QR Code Functionality

Under "Actions," you can print a work order with all the details. A "Strip Work Order" gives you all the details except the pricing and the customer's name. This is great for busy shops with important clients where you want to maintain privacy in the workshop. If you're using your mobile phone, you can scan the QR code on the printout, and it will open the work order directly on your phone for quick adjustments.

(10:16) Invoicing & Seamless Square Payments

Now, let's add this to an invoice. Because I already assigned a customer, it will create a new invoice. On the invoice page, you can see your customer details. You can see the work order and even mark it as tax-exempt at the invoice level. You can add more work orders or miscellaneous items, like a "Rush Delivery" for $105. You can also add a shipping address.

For payments, we have integration with Square. One is the Square Terminal. You add the amount you want to charge—say, $1000. If you click "Charge" and you're connected to a Square Terminal in the settings, this amount will pop up on the terminal. The customer swipes their card, the payment comes in here, and it will save the card type, time, and date.

The other integration is Square Invoices. If you select "Square Invoice" and the customer has a phone number or email on file, you can send the payment link. When I click this, it creates a Square Invoice URL. The customer will get a text message or email, and once they pay—it doesn't matter when—the payment will automatically be recorded in FramingPOS. Someone could pay you at 3 AM, and you'll wake up to a paid invoice.

You can also print the invoice, which is nice and clean. You can also print a packing list, which is the invoice without any pricing, perfect for deliveries. The QR code on the invoice opens that specific invoice when scanned. There's also a QR code that will pre-populate a text message to the customer on your phone, making it easy to send them a quick update.

(15:00) Product & Vendor Management

If I click on "Products," you have molding, matboard, glazing, and everything else. For molding, we have many vendors. If we don't have a vendor you want, I'll show you how to add them. You can filter by vendor, like Larsen-Juhl, and see different images of the molding and other information. Here, you assign a pricing formula. You can assign a pricing formula to an entire vendor or to a specific item.

"House Products" are items you carry in your own shop, maybe from a large buyout. You can clone an existing product, give it your own name, and it becomes a house product. The price on this will never get updated by vendor price lists, giving you full control.

(17:14) Deep Dive: The Powerful Pricing Engine

We have a very robust pricing system. Everybody gets our default pricing, which we update all the time based on industry leader feedback. You can choose to sync with our new pricing data, or you can make adjustments to your own. You can clone our pricing formulas to save time and then customize them for chop, join, or however you price.

(18:35) Close Corner Frame Shipping Estimator

We have something cool called a "Close Corner Frame Manufacturer" setting. I've set it up for Vermont Hardwoods. You put in their zip code and some fees. This will take the outside measurement of the frame, estimate the box size, and give you a guesstimate of the shipping cost for a joined frame. This is a very cool feature if you sell close-corner frames and need to provide a quick quote.

(19:30) Matboard & Glazing Products

Matboard is similar: you set up your pricing formulas and assign them to a vendor like Crescent, Bainbridge, or Peterboro. For glazing, these prices get updated all the time from the different vendors. You can select which vendors you use. We're working on a feature to enable or disable the glass types you don't carry, so your list is cleaner when creating a work order.

(21:22) Managing "Everything Else"

This is all your backing, foam board, and hardware. These prices are based on average national vendors, so you don't have to worry about your foam board price being from 10 years ago. We update this for you all the time.

(22:10) Customizing Your General Settings

In "Settings," you can set your state and local sales tax. You can choose to show discontinued mat and molding, just in case you still have stock. We have a "Peak Pricing" feature where you can set a date range, like November 1st to December 25th, and automatically add a 10% surcharge for jobs due in that period. You can also set up "Inflation Pricing" to automatically increase your prices by a certain percentage each year.

(24:41) The "Element Formula" for Custom Pricing

Let me explain how the "Element Formula" works. This was Gaston's idea. You can come in and create your own pricing formulas for miscellaneous items. Let's create one for an "Acrylic Box." The formula could be: (Wholesale Cost x 2) + (Shipping Cost x 2) + 425.66) and shipping ($350), apply my "Acrylic Box" formula, and it automatically calculates the retail price. It's incredibly powerful for one-off items.

(26:48) Powerful Integrations (Google & Square)

This is where the cool stuff happens. We have Google integration, so you can send emails via Gmail. You can sync your work order due dates to a Google Calendar. The Google Photos integration allows you to easily add pictures to work orders. And the Square Payments integration lets you connect your Square locations and terminals for seamless transactions.

(28:08) The Built-in Print Lab Module

In the work order, you can scroll down to the "Print Lab." Here, you can add any heading, subheading, and different items. You can tell it to charge per piece or per square inch. For example, "Printing on Canvas, No Stretching" could be 15 cents a square inch. If I have a 15x15 print, it calculates the price. If I add "Scanning," which is priced per piece, it adds that to the total. This can be a standalone print lab job or added to a full framing order. You can edit all of these lab services and prices in the settings.
