Getting Started
Store Setup
After registering, the first step is to configure your store settings. Go to Settings → General to set up your tax details, timezone, currency, and other preferences. You should also visit Settings → Company to upload your company logo and enter your contact information.
Pricing
You should set up your pricing to ensure products are sold correctly and profitably. By default, the system provides pricing that is automatically applied to all work orders, allowing you to begin using the software immediately. You can also go to the Pricing tab of each product to fine-tune individual pricing for greater accuracy.
As part of your subscription, you also have access to a free consultation service. You can book an appointment with an expert who will configure your pricing to match your business needs and assist with other parts of the setup.
Work Orders
View Work Orders
Framing POS makes it easy to manage and review your work orders.
- To see all incomplete work orders, navigate to the Work Order Directory page.
- To view all work orders (regardless of status), click the Date Added column header. This will display every work order, sorted by the date it was created.
- To sort work orders by due date, click the Due Date column header.
- To filter work orders by priority or status, click the respective column header and select the option you want.
- As you scroll down the table, additional work orders will automatically load until you reach the end.
Create a Work Order
To create a new work order, simply click the + New Work Order button or switch to the Create tab within the Work Order module

Add a Customer
You have the option to attach a customer to a work order in several ways:
- Search for an existing customer.
- Click the List button to choose from all customers.
- Click Create New Customer in the customer list to add a new customer directly from the work order page.

Add Moulding
Before adding moulding, enter the Art width and Art height. Then you can:
- Search for a moulding.
- Click the List button to select from all mouldings.
- Switch to the House tab in the moulding List to choose from in-house mouldings you created.

Add Matboard
Before adding matboard, enter the Art width, Art height, and mat borders. To set individual borders, uncheck the Equal mats? option. You may also add White Space at this step. Then you can:
- Search for a matboard.
- Click the List button to select from all matboards.
- Switch to the House tab in the matboard List to choose from in-house matboards you created.

When you add multiple matboards to a work order, the system automatically calculates the mat reveals. You can set the default reveal amount and choose the reveal calculation type in Settings → General under Matboard Reveal.
- Default Amount – This is the reveal size applied to each additional matboard after the first one.
- Type – Determines how reveals are applied.
- Additive: Each new matboard adds the reveal amount on top of the first matboard, increasing the overall border.
- Subtractive: Each new matboard subtracts the reveal amount from the first matboard, keeping the overall border size the same.

When working with multiple matboards, you can adjust the reveal amounts by editing the values in the Reveal fields. The reveal for the first (outermost) matboard cannot be changed here. To modify that reveal, use the mat Border fields instead.
Add GlazingBefore adding glazing, enter the Art width and Art height. Then you can:
- Search for a glazing.
- Click the List button to select from all glazings.
- Switch to the House tab in the glazing List to choose from in-house glazings you created.

Add Everything Else
The Everything Else section allows you to add any products that are not mouldings, matboards, or glazings. This includes items such as spacers, backing, hardware, and more. Before adding an item, enter the Art width and Art height. Then you can:
- Search for an item.
- Click the List button to choose from all available items.
- Switch to the House tab in the Everything Else List to select from in-house items you created.
- Toggle Show Buttons to display all Everything Else items visually on your screen and select from there.

Add Print Lab
To add a print job to a work order, first configure your Print Lab settings in Products → Print Lab. Once configured, you can enter the required details in the Print Lab section of the work order.
Confirm SizeThe system automatically calculates the glass size as you make changes to a work order. You can view these values in the Final width and Final height fields. Glass size is determined from the art size and matboard dimensions and cannot be edited directly. If the final calculated glass size is not what you need, adjust the art size or mat dimensions until the correct size is reached. Once confirmed, check the Size confirmed? box.

When the box is left unchecked, the tool behaves dynamically:
- You enter your Art Width and Art Height.
- The system automatically adds all mat board and white space values.
- The Final Width and Final Height continually update as you make changes.
That means if you adjust the mat borders or artwork size itself, the final dimensions instantly reflect that.
Checking Size Confirmed? tells the system "Lock the final glass size. Don’t recalculate anything, no matter what I change." Once you turn it on:
- The Final Width and Final Height become fixed.
- Changing the art dimensions will not affect the final size.
- Adding or removing mat boards or white space will not affect the final size.
To add extra charges, such as a Rush Fee, use the Misc section of the totals:
- Enter a description of the charge and specify either a dollar amount or a percentage.
- To add multiple charges, click the + Add button to create additional rows.
You can also apply an Element Formula (set up in Settings → General) by clicking on + Add Element and entering the Wholesale Cost and Shipping Cost, then selecting the formula to calculate the charge.

The Subtotal is the sum of the Totals and any Misc charges you’ve added.
DiscountsTo apply a discount to a work order, enter either a dollar amount or a percentage in the Discount section.

Totals
The Totals section displays the calculated costs for the entire work order. Here you can see the combined totals for Moulding, Matboard, Glazing, Everything Else, and Print Lab. If the Show Pricing Calculations option is enabled in Settings → General, you can view a detailed breakdown of how each price is calculated.

The final total section shows the overall cost of the work order. Here you can also view:
- The total tax for the work order.
- The Total including tax.
- If the work order quantity is greater than one, the system displays the total including tax multiplied by the quantity.
Additional options:
- Checking Tax Exempt sets the tax amount to 0.
- Entering a value in the Price override field replaces the grand total before tax with your override amount.

Priority, Status, Due Date
- Priority: Click the Priority dropdown and select Low, Normal, or High.
- Status: Click the Status dropdown and select Quote, Incomplete, Hold, or Complete.
- Due Date: Click the Due Date field and choose the desired date from the calendar.

Save a Work Order
Before saving a work order, ensure that Art Width, Art Height, and Due Date are entered. If the Status is set to Quote, a due date is not required.
There are two ways to save a work order:
- Click the Save button.
- Click + Add to Invoice to save the work order and add it directly to an invoice.
Update a Work Order
To update an existing work order, make the necessary changes to the work order details and click Update to save your changes.
- If the work order is not attached to an invoice, it will update immediately once the loading icon disappears.
- If the work order is attached to an invoice, a pop-up will appear showing which invoice the work order belongs to. You can then choose to update only the work order or both the work order and the invoice.

Add Work Order to an Invoice
There are several ways to add a work order to an invoice. Regardless of the method, ensure that the customer on the invoice matches the customer on the work order. If a work order does not have a customer assigned, the customer from the invoice will automatically be attached to the work order when it is added.
From Work Order PageWhen creating a new work order or updating an existing work order that is not already attached to an invoice, you can click + Add to Invoice. Once clicked:
- A list of all your invoices will appear. Select an invoice from the list to add the work order to it.
or
- Click Create New Invoice to generate a new invoice to attach the work order to it.
- If a you choose to create a new invoice, you will be redirected to the Invoice page, and the work order will be automatically added.
- If the work order already has a customer assigned, that customer will also be added to the new invoice, and the invoice will be saved automatically.
- If the work order does not have a customer assigned, you must add a customer to the invoice before saving.
When creating or updating an invoice, you can add work orders by:
- Searching for a work order.
- Clicking on the List button to view all available work orders.

From the List, you can:
- Select a single work order.
- Use the checkboxes to select multiple work orders, then click Select Work Orders to add them all at once.
- Work orders without a checkbox are either already included in the invoice or assigned to another invoice.
- If you attempt to add a work order that belongs to another invoice, a pop-up will appear. This will allow you to open the existing invoice and detach the work order before adding it to the new one.

Pricing
Product Pricing
The Pricing section allows you to configure how your products are priced in a work order. You can set pricing rules for Mouldings, Matboards, Glazings, and Everything Else. To manage product pricing, go to Products → [Product Type] (Moulding, Matboard, etc.) and open the Pricing tab. From there, you can view and manage your Pricing List.
Default PricingBy default, all products have Default Pricing item(s), which serves as the recommended pricing configuration. In your Pricing List, the Default Pricing is marked with a blue star icon. If you want to update it with the latest recommended settings, go to Settings → General and click Sync Default Product Pricing under the Pricing section. This will replace your current Default Pricing with the most up-to-date configuration.
- Important: Syncing will overwrite any custom changes you’ve made to the Default Pricing. Other pricing items (those without the star icon) will remain unchanged.

Update Pricing
To update an existing product pricing item, go to Products → [Product Type] and open the Pricing tab to access your Pricing List. Locate the pricing item you want to edit and click View to open its details. Once you're done editing the pricing, click Update to save your changes.
- Keep in mind that each pricing name must be unique. You cannot rename a pricing item using a name that already exists in your product Pricing List.
Cloning a pricing item allows you to quickly copy all settings from an existing item into a new one. This is useful when you want multiple pricing items that are similar but slightly adjusted for different products. To clone a pricing item, go to the Pricing List, locate the item you want to copy, and click View to open its details. Then click Clone. A new pricing item will be created with “- Cloned” added to its name, which you can edit as needed.
Apply Pricing to VendorsAfter creating a new product pricing item, you can assign it to products based on their vendor. To do this, go to Products → [Product Type] and open the Vendors tab. The Vendor List will display vendor details, including the pricing currently applied. By default, all vendors use Default Pricing. To update this, open the Applied Pricing dropdown, select the pricing item you want, and click Save Vendor Pricing to apply your changes.
- Pricing can only be applied to vendors for Mouldings, Matboards, and Glazings, not Everything Else items.

You can see all vendors a specific pricing item is applied to by opening the pricing item and expanding the Vendors using this pricing section.

Apply Pricing to Products
By default, products inherit vendor-level pricing. However, you can assign pricing to individual products through the Product Directory in Products → [Product Type]. Locate the product you want—by scrolling or searching—and click on it to open its details. In the Pricing section, select the desired pricing item from the dropdown and click Save to confirm your changes.

You can see all products a specific pricing item is applied to by opening the pricing item and expanding the Prodicts using this pricing section.

Moulding Pricing
To configure moulding pricing, go to Products → Moulding and open the Pricing tab. This section displays your complete Pricing List.
Create Moulding PricingClick + Add Pricing to create a new pricing item. A popup window will appear where you can configure the details. Name your pricing item (must be unique—no duplicates allowed).
Select the Price by option to determine which wholesale cost type to use: Chop, Join, or Length.

The Min Price sets the lowest possible price for a moulding on a work order. It is calculated as: Wholesale Cost × Multiplier + Service Fee
- Enter values in the Multiplier and Service Fee fields under the Min Price section.
- Tip: Always use a Multiplier of 1 or greater to ensure the Min Price is never below the wholesale cost, preventing sales at a loss.

The Set Price adds an extra charge on top of the calculated price. It is calculated as: Wholesale Cost × Multiplier + Service Fee
- Enter values in the Multiplier and Service Fee fields under the Set Price section.

You can define multiple pricing rules using Pricing Rows. Each row includes:
- Wholesale Cost Range (lower & upper bounds)
- Markup (applied when the wholesale cost falls within the range)
- Service Fee (added on top, can also be negative)
When a moulding’s wholesale cost falls within the specified range, the system applies that row’s Markup and Service Fee. To add more rows, click + Add Row. The system will automatically fill in the next lower bound; you only need to provide the upper bound and Markup.

Click Save to save the new pricing item.
ExampleTo make pricing easier to understand, it is divided into two parts: Retail Price and Total Price.
- Retail Price = Wholesale Cost × Markup
- Total Price = (Retail Price × Required Length) + Set Price + Service Fee
If the calculated Total Price is lower than the Min Price, the Min Price will be used instead. Let's look at the following moulding Pricing Item as an example:

If a you use a moulding with a Wholesale Cost of $6 and you require 8 ft of it, the following calculations will be made:
- Min Price = $6 × 3 + 30 = $48
- Set Price = $6 × 0.5 + 0 = $3
- The second Pricing Row is used since the Wholesale Cost falls between $10.01 and $10.
- Markup = 2.5
- Service Fee = $10
- Retail Price = $6 × 2.5 (Markup) = $15
- Total Price = ($15 × 8 ft) + $3 + $10 = $128.00
So this moulding will be priced at $128.00
If a you use a moulding with a Wholesale Cost of $20 and you require 2 ft of it, the following calculations will be made:
- Min Price = $20 × 3 + 30 = $90
- Set Price = $20 × 0.5 + 0 = $10
- The fourth Pricing Row is used since the Wholesale Cost falls between $15.01 and $9999.99.
- Markup = 1.5
- Service Fee = $10
- Retail Price = $20 × 1.5 (Markup) = $35
- Total Price = ($35 × 2 ft) + $10 + $10 = $75.00
Since the Total Price is less than the Min Price, this moulding will be priced at the Min Price of $90.00
Matboard Pricing
To configure matboard pricing, go to Products → Matboard and open the Pricing tab. This section displays your complete Pricing List.
Create Matboard PricingClick + Add Pricing to create a new pricing item. A popup window will appear where you can configure the details. Name your pricing item (must be unique—no duplicates allowed).
The Min Price sets the lowest possible price for a matboard on a work order.

When a matboard’s wholesale cost falls within the specified range, the system applies that row’s Markup and Service Fee.

- Total Price = (Retail Price × Required Area%) + Set Price + Service Fee
If the calculated Total Price is lower than the Min Price, the Min Price will be used instead. Let's look at the following matboard Pricing Item as an example:

If a you use a 32 in × 40 in matboard with a Wholesale Cost of $6 and you require 16 in × 20 in of it, the following calculations will be made:
- Total Mat Area = 32 in × 40 in = 1280 in²
- Required Mat Area = 16 in × 20 in = 320 in²
- Required Area% = 320 in ÷ 1280 in = 25% = 0.25
- Min Price = $6 × 1 + 2 = $8
- Set Price = $6 × 0.5 + 0 = $3
- The second Pricing Row is used since the Wholesale Cost falls between $10.01 and $10.
- Markup = 2.5
- Service Fee = $10
- Retail Price = $6 × 2.5 (Markup) = $15
- Total Price = ($15 × 0.25) + $3 + $10 = $11.75
So this matboard will be priced at $11.75
If a you use a 32 in × 40 in matboard with a Wholesale Cost of $20 and you require 8 in × 16 in of it, the following calculations will be made:
- Total Mat Area = 32 in × 40 in = 1280 in²
- Required Mat Area = 12 in × 12 in = 128 in²
- Required Area% = 128 in ÷ 1280 in = 10% = 0.10
- Min Price = $20 × 1 + 2 = $22
- Set Price = $20 × 0.5 + 0 = $10
- The fourth Pricing Row is used since the Wholesale Cost falls between $15.01 and $9999.99.
- Markup = 1.5
- Service Fee = $10
- Retail Price = $20 × 1.5 (Markup) = $35
- Total Price = ($35 × 0.10) + $10 + $10 = $18.00
Since the Total Price is less than the Min Price, this matboard will be priced at the Min Price of $22.00
